Job DescriptionEXECUTIVE ASSISTANT Full Time Beverly Hills, CA,
USA JOB DESCRIPTION: An Executive Assistant provides high-level
administrative support to company leader to ensure he can
efficiently accomplish key tasks and company initiatives. They keep
the executive's communication organized so that they can easily
access the most important information without having to sort
through low-priority items. Executive Assistants screen all
visitors and determine what level of support they need while
offering polite, professional customer service. They manage the
executive's daily calendar, including scheduling meetings,
confirming appointments, writing itineraries and arranging for
transportation. Executive Assistants also train other
administrative staff on company policies and best practices. Is
responsible for managing the schedules and communications of
company executive. Their duties include prioritizing emails and
phone calls, gathering documents to prepare for meetings,
coordinating travel arrangements and managing daily schedule.
REQUIREMENTS AND QUALIFICATIONS:
- High school diploma or GED
- Multi-line telephone experience.
- Professional appearance and disposition
- Strong communication skills, listening, must speak clearly
- Must be able to convey messages to employees clearly &
quickly
- Detail oriented, problem solver
- Outstanding customer service skills
- Must be a team player, self-motivated
- Extensive computer, Data Entry experience
- Must be able to work in an active, social atmosphere without
being distracted
- Must be fully vaccinated against COVID-19 and have your booster
vaccine if your booster eligible DUTIES AND RESPONSIBILITIES:
- Providing administrative assistance, such as writing and
editing e-mails, drafting memos, and preparing communications on
the executive's behalf
- Maintaining comprehensive and accurate records
- Performing minor accounting duties
- Organizing meetings, including scheduling, sending reminders,
and organizing catering when necessary
- Answering phone calls in a polite and professional manner
- Welcoming visitors and identifying the purpose of their visit
before directing to the appropriate area
- Managing the executive's calendar, including making
appointments and prioritizing the most sensitive matters
- Coordinate all executive team meetings and assist with events
as needed
- Regularly exercises discretion and independent judgement
- Regularly directly assists owner
- Planning events on behalf of company
- Representing company at functions on owner's behalf
- Replenish office materials such as printer supplies, paper,
office supplies, etc.
