Our mission is:To provide personalized, excellent patient care to a diverse patient populationTo deliver world-class and natural-looking results for facial rejuvenation, aging face, and beautification through surgical, reconstructive, injectable, and non-invasive techniquesTo lead a high-performing, happy, and customer-service obsessed team in a state-of-the art facilityPOSITION: Front Office Specialist and Medical Assistant for Truesdale Facial Plastic Surgery in Beverly Hills, CARESPONSIBLE TO: Practice Manager for operational duties, Medical Director for clinical dutiesJOB SUMMARY: Seeking a full-time front office specialist and medical assistant with excellent communications and customer service skills for a rapidly growing surgical office. Responsibilities include managing patient reception, communicating with patients, managing patient data with HIPAA compliance, and other front office duties. As a Medical Assistant, manage treatment room set up and clean up, and assist Dr. Truesdale with in-office procedures and follow-ups.OverviewThis position is the surgical practice's "front line"-- - for patient interaction. We are looking for an upbeat and friendly team member who will manage patient interactions, collect and enter patient information into our electronic medical records, support practice administration, act as a medical assistant, and drive a world-class patient experience.QualificationsThis individual must be highly motivated, customer-service oriented, and invested in the success of the business and his/her career. The ideal candidate will have well-developed problem-solving skills and the ability to manage multiple priorities.High school diploma is a minimum education requirement. Associates or Bachelor's degree preferred. Certified medical assistant is preferred. Bilingual Spanish/English strongly preferred.At least three years experience in hospitality, medical office, or other customer service position desired. The ability to quickly learn medical terminology, practice management software, patient flow, and facial cosmetic procedures is required. Experience in Microsoft Office and the ability to quickly grasp new technology is required. Some overtime, evenings, and/or weekend work may be required.Specific TasksCustomer ServiceSchedule appointments, check-in and check-out patients, facilitate appointment reminders and follow-ups for patientsDiscuss cosmetic services and sell skincare products to patientsHelp to maintain a friendly, professional workplace environmentAdministrativeComply with state and federal regulations regarding the safeguarding of protected patient information (HIPAA)Use Microsoft Office software, electronic health record and management systems (EHR), and other office software to support the businessWork with office staff to coordinate patient care and office managementAssist with invoices and processing patient deposits and paymentsMedical AssistanceAssist in preparing for and delivering clinical consultations and in-office procedures, while practicing standard safety precautionsCoordinate lab results, medical clearance, paperwork, photos, prescriptions, etc. as instructedPrepare treatment room, manage stock, and clean equipment and roomAdditional Information: Other job tasks not specified in this job description may arise over time as the clinic administrative needs change and will be discussed with the employee.This role will start as 1099 / contractor position, and ideally become full time if the person is the right fit. The employee's employment is maintained on an at-will basis in compliance with California employment regulations.Working hours will be coordinated within the clinic office hours from 7:30 a.m. to 5:30 p.m. Monday through Friday, and 8:00-1:00 on Saturday.OSHA guidelines in accordance with the clinic's OSHA Handbook are to be followed. This position has extensive access to PHI. It requires access to computerized schedules and computerized or paper-based billing and reimbursement data, both of which contain a patient's clinical and financial information. It also may require the review of patient referral forms, lab results, tests, and encounter form data in the medical record in order to prepare patient information for the physicians and clinical staff.
